Detailed Job Description This position provides daily management of all Global Risk Management Services (GRMS) department budgets, financial transactions, administrative services and records operations. Departments include Global Risk Management (insurance), Public Safety (including Business Continuity and Threat Assessment), Environmental Health & Safety, and the HUB Print and Postal Service. The Manager of GRMS Operations assists the Associate VP of GRMS with the maintaining of effective, best-practices programs within the division, as well as provides analytic expertise and oversight responsibilities with regards to university and student-related insurance. The Manager of GRMS Operations provides direct supervision for the position of Sr. Staff Specialist ensuring productivity and efficiency within the Public Safety and EHS departments.
Participate in strategic planning and provide budget management through development of all GRMS department annual budgets and budget plans, verifying and maintaining appropriate records, and compiling financial analysis for management. Act as advisor and confidant to Associate VP for GRMS. Forecast NTID Public Safety chargeback budget projections for inclusion in NTID's annual budget submission process.
Financial liaison for all GRMS departments. Reconcile all department budgets within GRMS division for accuracy. Analyze variances for justification. Prepare and submit reports relating to same. Prepare ad hoc divisional budget reports.
Responsible for managing and coordinating the day-to-day operations including overall project management, accounting functions, procedure compliance, contracts, procurement cards, travel expense reimbursements, invoicing, database management record retention, petty cash, ordering supplies, coordination of computer cascade and capital equipment inventory and replacement purchases, etc. Liaison with RIT Facilities Management Services to coordinate projects and track expenditures. Update websites, as needed. Message Center resource for providing division communications.
In conjunction with HR, administer policies and processes by providing support and guidance for GRMS employment related matters including annual performance appraisals, disciplinary documentation, processing of Employee Action Forms, wage adjustments, promotions, and other employment related transactions. Approve posting/requisition of open positions. Provide other direct support in the recruitment, hiring and training of support staff, as needed.
Direct supervisory and management responsibilities for the Sr. Staff Specialist position overseeing that the daily support of the Public Safety and EHS departments are performed efficiently and effectively.
Primary interface for students, staff, faculty and external visitors related to insurance inquiries and requests.
Provide direct support to the Executive Director of Risk Management in managing RIT's self-insured retention, reserve funding, and claims administration for property/casualty claims. Department contact in Executive Director's absence.
Execute such other functions related to finance, risk and management as delegated by the Associate VP.

Required Minimum Qualifications
5 -10 years of experience
Excellent financial planning and analytical skills; attention to accuracy and detail in all responsibilities.
Ability to prioritize and manage multiple projects simultaneously.
Ability to maintain confidentiality and proper discretion in all interactions.
Strong interpersonal skills.
Demonstrated ability to initiate and implement innovations; good judgment and integrity.
Ability to conduct business in a manner consistent with university core values.
Demonstrated competency in computers and office desktop applications, with intermediate to advanced level of proficiency (e.g., Microsoft Excel, Word, PowerPoint, Outlook).
Ability to communicate in American Sign Language or willingness to learn.
Experience in an insurance brokerage, or agency customer service representative position preferred.
Supervisory experience preferred.
Familiarity with online applicant tracking system (e.g., Kenexa/BrassRing), online financial systems (e.g., Oracle), and online timekeeping system (e.g., Kronos) preferred.
Knowledge of RIT policies and procedures, Student Rights/Responsibilities preferred.
Proficiency in American Sign Language communication skills preferred.
