Provide a broad range of communications and administrative support for the Environmental Health & Safety Office in its delivery of environmental and safety related services to the campus community. This support includes writing and editing reports, forms, documents, policies, emergency procedures, manuals, training modules, newsletters, promotional materials and other publications. Responsible for maintaining the department communications plan, department web/social media sites, training management site, authorized driver list, and environmental management and regulatory system website.
Utilizes journalistic skill in the planning, content, composition and design of written materials and publications such as the department newsletter, brochure, and annual report using various graphics, word processing, and other desktop software. Composes, proofreads, updates, and revises complex department safety program manuals, flyers, training material, forms, correspondences, and memorandums for publication to internal and external audiences. Maintains and updates all EH&S policies and forms. Serves as department's central resource in areas of desktop publishing and supports EH&S staff as required. Ensures that communications are uniform in format and in line with the University and department missions. Maintain and review the department website to keep it current in coordination with EH&S program area staff. Ensure the website is in compliance with University policies and oversee the department's utilization of the UTA content management system. Responsible for continuous updating and functionality of the University's Environmental and Regulatory Management System website. Develop content to promote EH&S on other social media platforms. Assists Director with development of the EH&S Communication Plan. Manage content published via the UTA Emergency Response Application. Manages the University's Authorized Driver List, Driver Training and MVR database utilizing the EH&S Training Management website. Submits requests for MVR review through the UTA System RMIS website, and coordinates information between both systems, exercising judgment in determining which drivers to update, correct, or purge. Interprets the University's policy on Driving University Vehicles and 15 passenger vans. Provides information to the drivers of university vehicles and answers employee inquiries regarding these requirements. Coordinates and assigns department delegates for the Driving Program. Assists the Director of EH&S with various department reporting activities. Collects, assembles and records data from all program areas of EH&S to produce reports such as Unit Effectiveness, Resource Allocation Program, Business Continuity Plan, annual department reports, department customer service surveys, laboratory evaluation reports, and space use management on the CASIM system. Manages all EH&S online training course content to include formatting, reviewing, editing, and uploading. Maintains records on the EH&S training management website in conjunction with the site host. Point of contact for troubleshooting problems experienced by EH&S online training site users. Attend Campus Communicators meetings and trainings as required to stay up to date regarding the rules, regulations, and policies governing University publications, both electronic and written. Occasionally, represents EH&S during various training and promotional events, such as Earth Day, National Night Out, etc. Serves as backup to the department Workers' Compensation Program in the absence of the WCI Claims Analyst. Serves as backup to the department. Administrative Assistant and/or Contract Specialist regarding entry and maintenance of time sheets/leave usage, employee records, budget, travel, purchase orders, invoice payment, etc., as necessary. Provides general administrative direction and/or supervision of student workers. Performs other functions as assigned.
Bachelor's degree in English, Journalism, Communications, or related field. Two (2) years of experience in communications, public relations, writing, editing, and preparation of a variety of informational materials, newsletters, and publications both for print and electronic distribution or High School diploma with five (5) years of equivalent experience.
Experience in web design and maintenance. Experience with design software (i.e. Photoshop, Adobe). Experience with design of print materials. Familiarity with and use of web-based content management systems and major social media sites. Experience using desktop publishing or graphics software. Proficient in Microsoft Word, Access, Excel, and PowerPoint. Experience in a higher education environment. Experience supporting an environmental health and safety department of similar size and scope. Experience with UT Share. Experience with program coordination and data reporting.
