Anticipated Start Date: July, 2021
Under the direction of an assigned supervisor, perform complex and technical clerical duties involved in the interpretation of laws, rules and regulations related to residency, veteran programs and international student admissions; perform specialized data processing activities to update the student information system.
Investigate and determine the residency status of prospective students as assigned; examine documents in support of claims of residency; respond in a timely manner in writing and via e-mail regarding residency determination; review immigration documents.
Interpret, apply and explain federal, state and district laws, rules and regulations related to residency determination; and Veterans Administration educational programs and residency requirements.
Communicate orally and in writing with applicants, District departments, public agencies and state and federal agencies; answer inquiries regarding residency, international student admissions, veteran programs, applications, program changes and provide general information, at the public counter and by telephone; act as a resource person for office staff to resolve problems requiring specialized knowledge.
Maintain files for area of specialty (residency, veterans, and international students); update residency status of international students, non-resident students and military dependents.
Communicate with Information Systems; extract computer reports for faculty and staff and federal and state agencies.
Compile and maintain files for residency students, and/or international students, and/or veteran admissions; monitor internal students' progress to assure compliance with applicable rules and regulations.
Interpret code and enter data on personal computer from a variety of prepared and original source documents, forms, and records.
Enter into student record system a wide variety of student records related to programs, credits and other related data.
Assist students and other visitors at the counter; provide information concerning applications(in-person and online),web registration college website navigation, program changes, credit and non-credit courses, and provide a variety of general information.
Provide secondary coverage for such specialized areas as international students and instructor contact.
Provide work direction and guidance to hourly, work study and temporary employees in the Admissions and Records Office.
Check and record data for final grade rosters from instructors.
Maintain departmental area(s) in a safe, clean, and orderly condition; assure compliance with established safety procedures and regulations.
Maintain currency of qualifications for area of assignment.
Perform related duties as assigned.
KNOWLEDGE AND ABILITIES:
State and federal admissions and records laws, regulations, functions and activities.
California Education Code Regulations and California Administrative Code and Title 5.
Data processing methods, techniques, procedures and theory.
Regulations pertinent to residency, veterans and international student admissions.
Immigration laws related to visas, permanent resident cards, and refugees.
Record keeping techniques.
Correct English usage, grammar, spelling, punctuation and vocabulary.
Modern office practices, procedures and equipment including telephone techniques and etiquette.
Investigate and determine student residency status.
Interpret and apply rules and regulations of the Veterans Administration.
Understand and communicate college admissions and registration regulations and procedures to the public.
Explain and interpret complex policies and procedures to a population with limited language and cultural comprehension.
Read, interpret, apply and explain complex rules, regulations, policies and procedures.
Communicate effectively both orally and in writing.
Understand and follow oral and written directions.
Train and provide work direction to others.
Work independently with little direction; meet schedules and time lines.
Establish and maintain cooperative and effective working relationships with others.
Maintain records and prepare reports.
Operate a personal computer including various software packages to enter and retrieve data using keyboarding skills in an efficient and effective manner consistent with requirements of the position.
EDUCATION: Graduation from high school or equivalent.
EXPERIENCE: Increasingly responsible admissions and records experience.
WORKING CONDITIONS: Admissions and Records Office environment; subject to constant interruptions and frequent interaction with students, staff and the public. Some light bending and stooping to retrieve files and other documentation; some light lifting at times.
