For a very busy department this individual performs all secretarial/clerical functions for the timely and efficient operation of the department by coordinating and maintaining effective office procedures and efficient workflow. Maintain filing and record management system. Demonstrate the utmost discretion and integrity regarding confidential matters. Duties within Employee Health include maintaining health and safety records of onboarding, and annual mandates aimed at employees and HCW at facilities of PSHSJ. He/she will assist with planning and facilitating Employee Health annual health exam/training/testing requirements, safety programs, and special events and projects.
E SSENTIAL DUTIES:
Develop and maintain department filing systems. Maintains Health & Safety database; tracking Healthcare Workers' (HCW) mandatory lab work, post-offer physical, annual TB screenings/tests, annual flu shot, respirator fit test, vaccinations, titers, mandatory EH trainings, mandatory annual screenings/surveillances, and other protocol of all HCW charts, etc.
Produce departmental correspondence and other materials as assigned. This includes: Sending monthly formal notices to all HCWs; requesting annual requirements such as; TB surveillance, hearing conservation surveillance, lab work, and physicals. Sending welcome letters/notices to all new HCW, as a follow up to the post offer physical. To inform the new HCW of actions required, such as, additional lab work, notification of non-immunity and need for vaccinations, and additional training required for personal protection
Arranges and schedules vaccinations, boosters, follow up lab tests, and extra personal protection training for HCWs.
Ensure all visitors and telephone calls are handled in a courteous and friendly manner, according to hospital policy
Fax and copy documents. Forward copies of records, upon request, to HCW.
Maintain and view calendars as appropriate.
Reviews all new HCW charts for completeness and needs.
Process departmental mail.
Provide or exchange information as necessary.
May perform clinical duties as qualifications allow. Maintain requirements to, annually, be a Tester for the mandatory Respirator Fit
Testing/Training Program, and a Trainer for the PAPR program for employees.
Perform other duties as assigned.
M INIMUM QUALIFICATIONS:
High School Diploma or GED required
2 years previous experience in a business setting required
Must maintain high level of confidentiality.
Medical terminology is preferred.
K NOWLEDGE, SKILLS, & ABILITIES :
B asic skills in general office support including basic computer skills, data entry, scheduling and preparation of routine correspondence.
Excellent communication skills required.
S trong attention to detail required.
