The P3 Lab at Johns Hopkins University seeks a full-time administrative coordinator to join its team. The P3 Lab is the research lab of Professor Hahrie Han and is part of the SNF Agora Institute at Johns Hopkins University. The Lab is dedicated to understanding how constituency-based organizations make the participation of ordinary people possible, probable, and powerful, so that people can engage in public life in ways that allow them to exercise voice over outcomes that matter most in their lives.
Responsible for a wide range of administrative duties for the lab, this position will provide administrative support to the members of the lab team as well as coordinate with external partners working with the lab. This position will require someone with strong interpersonal and organizational skills, experience working in a fast-paced and changing environment, and ability to manage the role with considerable judgment, tact, creativity, initiative and a high level of confidentiality.
Specific Duties & Responsibilities:
Provide administrative support for P3 lab with direct supervision by the P3 Senior Lab Director
Manage overall lab calendar, preparation of materials for meetings
Schedule individual and group meetings with students, colleagues and external contacts and partners
Coordinate with SNF Agora on room assignments for meetings, classes and other work
Assist visitors to the lab
Prepare outgoing mail and packages as needed
Order and maintain office and other supplies for the lab
Prepare and organize expense reimbursements, invoices, corporate card, travel, and other financial transactions
Assist in setting up new employees to the lab
Arrange routine maintenance and service calls on office equipment
Work with Facilities and IT department and SNF Agora team to ensure lab office space is properly maintained and any problems are resolved in a timely manner
Perform other duties as assigned
Minimum Qualifications (Mandatory):
High school diploma or GED
Three years of related experience in a professional environment is required
Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula
Special Knowledge, Skills, and Abilities:
Strong organizational, interpersonal and customer service skills
Ability to work independently and in a team; to take initiative and be flexible
Proficiency with Outlook, Word, Power Point and Excel preferred
Experience with SAP a plus
