The Continuous Quality Improvement Coordinator assists with ensuring compliance of Easterseals and HS/EHS policies and procedures, service plans, and applicable federal, state, and city regulations. In addition, the Continuous Quality Improvement Coordinator provides content area expertise, support, oversight, and training in the areas of safe environments, human resource requirements, and program design and management. Planning and Program Services - Support site teams to problem solve and work collaboratively to address most needs and challenges that happen at sites.
- Works with site teams to determine when higher levels of progressive discipline are warranted.
- Complete monthly monitoring and analysis of information about their supervisees’ work and content.
- Responsible for reviewing site verification forms for direct supervisees for completion and meeting requirements, communicating information needed to the site and leadership team, and following up to make sure concerns are addressed.
- Provide most day to day training and technical assistance at sites, along with direct line staff that has met certification requirements.
- Initiate and provide input about new policies and procedures and forms based on an understanding of the direct application.
- Ensure that CQIs and site teams are sharing site-level concerns and resolutions are shared with managers, assistant directors, and leadership team.
- Attend site team meetings based on the level of the site or if there are additional requests from direct supervisees or needs identified.
- Conduct monthly analysis of monitoring data with the leadership team, provide recommendations, and ensure that data is utilized to guide planning.
- Coordinate and ensure the implementation of a system for storing and archiving files.
- Coordinate with CQIs that monthly reports are completed in accordance with the Head Start Act for the Parent Policy Council (suburbs), the Parent Policy Committee (Chicago), and the Board of Directors.
- Coordinate and ensure the accurate and ongoing tracking of partner licenses, liability insurance, and contracts to ensure that all are up to date.
- Coordinate and ensure the review of all transcripts as needed to ensure that center staff meet Head Start and, as applicable, DFSS requirements for their position.
- Ensure the development of support plans and supplemental funding requests to correct any health and safety issues for all partner sites.
- Review and process partner site invoices.
Record Keeping, Reporting, and Communication: - Complete monthly reports with updates about PIR information and information tracked for supervisees.
- Complete the annual PIR as part of the leadership team.
- Facilitate or participate in regularly scheduled content area, team, director, and other meetings.
- Travel to Easterseals and partner sites regularly.
Ongoing Monitoring and Self-Assessment: - Implement and monitor systems for ensuring the active supervision and safety of children so that no child is ever left alone or unsupervised.
- Implement a system of ongoing monitoring to ensure safe environments during multiple weekly site visits by CQI Specialists.
- Implement a system to ensure that all developmental screening information is completed and entered in COPA within 45 days of children’s enrollment.
- Implement a system for tracking non-compliances and developing and monitoring support plans.
- Implement a system for ongoing review of COPA and the PIR to ensure information is accurate and complete, including monthly tracking and reporting of information.
- Implement a system of ongoing monitoring, tracking, and follow up on a regular basis on the continuing education/professional development plans for all Head Start and Early Head Start teachers, teacher assistants, and the documented support and assistance provided in attaining goals.
- Implement a system to monitor and track the completion of all annual center staff evaluations and supporting documentation.
- Implement a system to monitor and track all center staff HR files and required documents to ensure compliance with Head Start Program Performance Standards and Head Start Act, DCFS, and, as applicable, DFSS.
- Monitors and tracks the completion of annual center staff evaluations and supporting documentation.
- Participate in the ongoing self-assessment of the program.
Human Resources: - Coordinate the interviewing process and supervision of direct supervisees.
- Implement reflective and relationship-based practices.
- Provide ongoing technical support to the Continuous Quality Improvement Specialists, including their performance evaluations and professional development plans.
- Participate in the development of an annual professional development conference.
- All other duties as assigned.
