The Sr. Administrative Coordinator will support the mission of the Department by providing complex administrative and project support to GI Cancer Faculty and the Oncology Translational Convergence Institute. Will provide assistance with a wide range of external and internal high level professionals. Will deal regularly with highly sensitive, privileged and confidential subject matter.
Specific Duties and Responsibilities:
Independently manage faculty calendars: organize high level meetings, make appropriate arrangements for meetings, compile and prepare materials, confirm meeting details, assist with communication and other details as needed, prioritize meeting requests and response times.
Coordinates travel for national and international meetings.
Arranges multicenter collaborative conferences.
Acts as the meeting planner, including technical assistance with teleconferences and webinars, prepares materials, slides, etc.
Assist with publication submissions, PubMed, etc.
Prepare and edit correspondence for the faculty.
Place purchases orders, process expense reports and reimbursements using SAP.
Assist with special event planning for the Institute.
Reconciles grant expenses to budget and communicates budgetary changes to the appropriate people.
Represent the division as appropriate in communicating professionally with faculty, administrators, and external contacts.
High school diploma/GED.
Five (5) years progressively responsible administrative experience.
Additional education may substitute for some experience, to the extent permitted by the JHU equivalency formula.
JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
