Department: STUDENT HEALTH & COUNSELING SERVICES - 068070 Department Description: Student Health and Counseling Services (SHCS) provides primary care, mental health, urgent care, laboratory, pharmacy, optometry, health education and counseling services to registered UC Davis students. SHCS's mission is to provide campus health and wellness resources that enable students to successfully achieve their academic goals and lifelong wellness. SHCS has approximately 180 staff including managers, senior professionals, professional and support staff, student employees, mental health interns and postdoctoral residents. SHCS is accredited by AAAHC (Accreditation Association for Ambulatory Health Care), IACS (International Association for Counseling Services), and APA (American Psychological Association). Job Summary: Under general direction, provide executive administrative support to the Executive Director of Health & Wellness, Director of Administrative Services, and Director of Quality Improvement. Manage complex calendars, prepare correspondence and reports as well as provide a high level of executive assistance on confidential and politically sensitive issues of high visibility requiring discretion and prioritization. Provide discrete communication, which is critical for program risk management, patient privacy, medical care, campus public health and environmental health. Serve as backup to other members of the SHCS Administrative Support Team.
Physical Demands: -Sit at a workstation for extended periods of time viewing a computer monitor.
Work Environment: -This position is subject to pre-placement screening provided by Occupational Health Services. Pre-placement screening will consist infection control testing that includes blood tests for TB screening and other infectious diseases and may include a physical exam, provided by Occupational Health Services, given at no charge to the applicant. This is done to meet Federal, State and University requirements.
-Position may, at times, require employee to work with or be in areas where hazardous materials and/or infection diseases are present.
-Position requires signing a statement acknowledging requirement to report child abuse (CANRA) and requirement to report suspected abuse of dependent adults and elders.
-UC Davis is a smoke and tobacco free campus effective January 1, 2014. Smoking, the use of smokeless tobacco produces and the use of unregulated nicotine products (e-cigarettes) will be strictly prohibited on any UC Davis owned or leased property, indoors and outdoors, including parking lots and residential space.

Minimum Qualifications: -Experience providing complex administrative and clerical support functions at an executive level, and working in an executive office environment that requires interpersonal and communication skills to create and maintain professional collaborative working relationships with an acute understanding of customer service and business processes.
-Professional experience and political acumen to confidentially handle sensitive or difficult situations diplomatically, to represent executive with tact and discretion, and to work effectively and sensitively with constituents from diverse cultural backgrounds and perspectives.
-Experience managing dynamic electronic calendars, scheduling and coordinating large, complex meetings and events.
-Organizational and time management skills to establish goals, set priorities and manage deadlines? to multitask and set priorities.
-Advanced computer experience to utilize various programs and software for word processing, spreadsheets, database programs, email, PowerPoint and the internet.
Preferred Qualifications: -Knowledge of and skill to interpret and apply UC and campus policies and procedures.
-Familiarity with UC system-wide and campus-wide offices, administrative contacts, campus structure and resources.
-Experience in working in a fast-paced environment with constant interruptions.
