Rutgers, The State University of New Jersey, is seeking a Senior Scheduler/Patient Liaison, for the Office of Human Research Services (OHRS) at the Rutgers Cancer Institute of New Jersey.
The primary purpose of the Senior Scheduler/Patient Liaison position is to ensure that the scheduling of surgeries, pre-admission testing and diagnostic testing of patients at the Cancer Institute of New Jersey) is performed in an organized, efficient and timely manner. Ensures that insurance pre-certification is completed prior to surgery and that all required surgical paperwork is in the operating room according to protocol. Serves as a liaison between the surgical oncologists, hospital operating rooms, radiological staff, Cancer Institute of New Jersey nursing staff, insurance companies and the patient. Contributes to the research mission and participates in performance improvement activities in order to improve the quality, consistency, and efficiency of services provided.
Among the key duties of this position are the following:
Under the direction of the surgical oncologists, and nurses, schedules all surgical procedures and pre-surgical testing at Robert Wood Johnson University Hospital, St. Peter's Medical Center, and the Cancer Institute of New Jersey within 48 hours of the receipt of the order. Also, schedules diagnostic tests as ordered by the surgeons and nurses and assists nursing team in obtaining results. Documents as per the Cancer Institute of New Jersey policy and procedures.
Accurately and thoroughly documents all scheduled appointments in the medical record and on the appropriate Cancer Institute of New Jersey Surgical Oncology forms.
Gathers all pre-surgical tests after review by the Advanced Practice Nurse (APN) and delivers to the appropriate hospital in a timely manner. Records all surgeries scheduled in the physician's computerized schedule.
Communicates with various hospital departments regarding upcoming testing and assists nursing staff in preparing the patient for all diagnostic and surgical procedures and assists nursing staff with pre-operative phone calls to patients.
Obtains approvals from insurance companies (pre-certification) when required to ensure insurance coverage for patients' procedure. Updates insurance companies with concurrent review information as necessary to obtain referrals or ensure reimbursement and obtains authorizations from insurance companies for patient procedures.
Coordinates with physician or APN as needed to obtain clinical information. Retrieves information from patients' medical record to complete requests.
Treats patients in a caring, professional manner that fosters a positive image of the Cancer Institute of New Jersey and instills confidence in the care received and respects patient confidentiality at all times.
Maintains effective working relationships with co-workers. Fosters a sense of esprit de corps. Demonstrates teamwork. Functions as a team member to organize and prioritize responsibilities to complete work assignments. Is cognizant of peaks and troughs in work activity and offers assistance to others during slow periods.
Follows through on recommendations; completes priority assignments promptly.
Documents and maintains mandatory Cancer Institute of New Jersey employee requirements such as HIPAA, Corporate Compliance, Right to Know, Tuberculosis, Fire Safety, etc. as defined by Environmental & Occupational Health and Safety Services (EOHSS), Joint Commission (JC) and other institutional requirements.
Minimum Education and Experience:
High school diploma or general education degree (GED).
Required Knowledge, Skills, and Abilities:
Knowledge of medical terminology.
Highly effective oral and written communication skills are required to communicate with clinical, administrative and other personnel.
Superior interpersonal skills are important in maintaining a sound public image in dealing with patients, families, and referring physicians.
Excellent critical thinking and attention to detail.
Must be computer literate with proficiency and working knowledge of database and reporting tools such as Microsoft Word, Excel, Access and PowerPoint.
Must demonstrate an understanding of the principles of guest relations and be able to maintain a professional demeanor and customer service orientation under busy and stressful situations.
Three (3) years of clerical experience including at least one (1) year that involved scheduling of surgical cases.
Prior experience in the use of a practice management system.
