Provide secretarial and administrative support to the Division of Adult Urology.
Answer telephone for department faculty (answers, screens, handles and relays messages, schedules phone appointments).
Answer patient phone calls, screens and helps callers as appropriate and relays messages with attention to detail.
Maintain records through filing, retrieval, retention, storage, compilation, coding, updating and destruction.
Prepare and distribute correspondence on behalf of the faculty.
Pick up and deliver materials as required.
Open, sort and screen mail.
Operate office equipment such as photocopier, fax machine, scanner and calculator.
Operate personal computer to access e-mail, electronic calendars, and other basic office support software.
Use software applications, such as Microsoft Word and Excel to assemble, manipulate and/or format data and/or reports.
Check OR schedule on a daily basis and update calendars to reflect the latest posted schedule.
Responsible for disseminating departmental faxes and mail.
Retrieve and index faxes from HERMES according to departmental schedule.
Send supplies to patients, as necessary.
Print out clinic schedules; call new patients to remind them of appointments; verify that records and slides have been sent ahead or will be hand carried to appt.
Request slides if they have not been sent.
Organize and obtain all materials for physician to see patients in the Urology outpatient clinic. This includes pulling charts, making new patients charts, and filing patient materials, obtaining x-rays and notes from referring physicians.
Make travel arrangements and coordinate traveling schedule with clinic staff.
Adhere to the Clinical Operations Group's Service Standards (attached addendum).
Complete duties as assigned.
HS Diploma or GED required.
Two years related administrative support experience required.
Special knowledge, skills, and abilities:
Special skills knowledge in Microsoft Office.
Experience using EPIC preferred.
Strong organizational skills with the ability to communicate well.
Technical qualifications or specialized certifications:
PC related software, printers, copiers and scanners.
Any specific physical requirements for the job:
Able to sit in a normal seated position for extended periods.
Able to reach by extending hand(s) or arm(s) in any direction.
Finger dexterity required, able to manipulate objects with fingers rather than entire hand(s) or arm(s), e.g., use of computer keyboard.
Able to communicate using the spoken and written word.
Able to see within normal parameters and to hear within normal range.
Able to move about.
Able to lift minimum weight, 25 lbs.
