The Center for Executive Education and Continuing Professional Education (ECPE) provides executive education and continuing education courses that encourage leadership development and provide the knowledge and skills that students need to improve organizational performance. Our portfolio of executive education programs and continuing education courses cover topics including leadership, management, research improvement and innovation, public health education, environmental health and safety, nutrition, health policy, and organizational strategy.
Reporting to the Senior Manager for Strategic Markets, ECPE's Customer Relationship Coordinator is responsible for maintaining a high level of professionalism, teamwork, and focus on customer service to ensure smooth enrollment process of program participants. The Coordinator will make recommendations on ways to improve the conversion process, including the inside sales process. They will also collaborate with a wide range of internal and external contacts to communicate accurate and informative program-related information to increase enrollment in courses.
Responsibilities include but are not limited to:
Participate in outgoing communications with potential program participants, both email and telephone
Responsible for tracking applications and registrations, updating status of a participant in the database, generating status communications to send to participants, tracking all enrollment information
Utilize CRM (Salesforce) to manage contacts and communications
Collect and report data for conversion process and other marketing efforts
Update and manage templates for outgoing communications – both email and telephone
Update HubSpot workflows and lead nurturing emails to capture new participants
Process invoices and track expenses
Contributes ideas for the improvement of department processes and procedures
Works with manager and marketing colleagues on administrative activities
Anticipates and resolves problems; updates supervisor on status of project
Other duties as assigned

3+ years of related experience required; a combination of education and experience may be considered
Bachelor's degree strongly preferred
Proficiency in Salesforce or another CRM preferred
Experience with Harvard financial systems and processes preferred
Proficiency in Microsoft Office (Excel, Word, Powerpoint) preferred
Develops strong working relationships with ECPE colleagues in all units. Develops rapport with potential participants quickly, comfortable with interacting with executive level participants and in dealing with ambiguity. Understands the spectrum of ECPE programs and can talk about programs with potential participants. Participates in other department administrative projects as requested.
A team player with a passion for customer service; proactive nature and readiness to contact potential customers by email and phone with an attention to customer service; comfortable with face to face customer interactions; prioritizes and manages multiple tasks with high attention to detail, organizational and effective time management; works well independently as well as a part of a team. In addition, must possess excellent written, verbal, and interpersonal communication skills and proofreading skills are all strongly preferred
