The Tufts Institute of the Environment (TIE) is an interdisciplinary university-wide institute that initiates, supports, facilitates, and connects environmental education, research, and outreach toward a sustainable future. The focus of TIE's support can change over time and may include such areas as water, climate change, health, environmental aspects of food security, or ecology. TIE aims to stimulate systemic change in environmental education in undergraduate, graduate and professional education. TIE's programs are directed by an Associate Director and an Academic Director who along with the Provost define university-wide environmental research agendas, identify promising research and funding directions, stimulate multi-investigator proposals and allocate resources to the achievement of specific goals. Through its leadership and its programs, TIE interacts with related school-based programs of the university with the goal of enhancing collaboration and identifying and exploring promising new directions.
Under limited supervision, the Administrative Coordinator performs complex and diverse administrative duties for the Institute. Serves as the primary point of contact and provides information and guidance on policies and procedures for constituents. Coordinates meetings, programs, or special events for department and assists with the development of materials. Works with team members to provide general administrative support to TIE and limited support to TIE's resident partners. Provides assistance to the Associate Director and office support to staff that are managing and developing programs. Performs advanced clerical and secretarial duties on a daily basis where assignments are complex and require high visibility, good judgment or discretionary actions. Proofreads and edits documents, brochures, and presentations. Plans and coordinates meetings and special events including contacting speakers, coordinating venues and travels, preparing promotional materials.
The Administrative Coordinator answers phones and greets visitors, forwards calls and emails to appropriate contact, schedules meetings, files information according to guidelines. Other responsibilities may include distribution of mail, photocopying, and Microsoft Office skills. Additional administrative support includes coordinating travel arrangements, preparing and sending mail correspondence, conducting ad hoc research projects.
5+ years of relevant clerical/office experience.
High School Diploma or GED.
Fluency in Microsoft Office Suite (especially Outlook emailing and calendaring systems, Word and Excel); ability to learn new systems.
Experience in a professional setting and willingness to be a committed team member.
Excellent customer service skills and telephone etiquette plus strong written communication skills, including ability to edit materials.
Ability to work with confidential material and demonstrate resourcefulness.
Knowledge of general office procedures.
Ability to perform multiple tasks simultaneously.
A quick learner.
BA and 3+ years of experience highly preferred.
Knowledge of HTML, Adobe Dreamweaver and Photoshop. Basic Mac OS experience.
Knowledge of or experience in environmental studies.
Special Work Schedule Requirements: Some overtime, evenings, and weekends to assist with events may be required.
