ATPS: Communications & Outreach Program Team As a member of the Communications and Outreach work group, serves as a project or communications coordinator as assigned. Applies content knowledge of EH&S programs to support central administrative document and records management, which includes: ?Managing workflow of documentation from inception to hard copy and electronic files, including work flow process improvement. ?Professional editing, proofreading and quality-control for documents and publications. ?Production, distribution, and retention of departmental communications. ?Participation in technical project planning to provide guidance and coordinate production of deliverables.
As assigned, supports central office functions, provides back up to other ATPS team members, and provides Central Communications support. Serves in assignments associated with campus disaster Emergency Support Functions.
Staff Development: Works on committees and assignments along with formal and informal coaching and mentoring and regular training, including conference attendance.
Other duties as assigned, including but not limited to: ?At the request of campus management (EH&S Director, VC Administration, UCPD Chief, or designated alternate) must be available to serve in an assigned role in support of emergency response to campus hazardous material release, threatened release, or declared disaster. May serve as a technical resource or support person for any EH&S emergency response activities. ?Serves as department administrative back-up. ?Participates in special projects and workgroups as assigned. Communications/Outreach and Advance Administrative Support to Assigned Technical Team
Provides advanced administrative assistance and serves as the ?communications and outreach expert? to assigned technical team through the following: 1.Project coordination ?Participate on project teams, serving as the communications / outreach expert. ?Provide project coordination assistance. ?Work closely with the designated project manager (PM) or subject matter expert (SME) to define the project and evolve written project plans or charters. ?Tracks action items.
2.Project Communication/Outreach Plan Development and Implementation ?With input from SME or project manager, independently develop a communication/outreach plan to augment the overall project. Assignments may include Personal Protective Equipment Program Improvements. ?Work closely with PM or SME to identify audience, message, and outcomes. ?Recommend or conduct audience research and analysis. ?Develop communications strategy (based on the PM/SME target) to deliver desired message. ?Coordinate communications plan review and approvals; create, obtain approvals, and manage communication?s plan timelines. ?Develop or recommend promotional materials, graphic design, or other outreach tools. Recommend internal or external (contract) production. ?Provide professional editing, proofreading, and quality control of all documents and publications ?Coordinate production of message collateral (print or electronic), social media, and other communications pathways.
3.Team web pages or websites ?As approved, add new or revise existing web pages to internal and the external departmental websites. ?Maintain any approved team website to meet program needs.
4.Technical Team Support ?Collects data for program metrics and reports for sponsors and campus-wide groups, including data for quarterly report to deans and chairs on laboratory inspection findings ?Coordinates complex meetings with campus and system-wide sponsors, cohorts, and clients. ?Ensures or implements meeting logistics, including arrangements, refreshments, procurement, purchasing, or other associated tasks. ?Provides committee support to academic committees, or other groups as assigned. (Includes: scheduling, logistics, agenda preparation, meeting minutes, and follow-up activities.) ?Conducts editing, proofreading, and quality-control for documents and publications. ?Assists with outreach activities, which may include publications, promotional materials, social media, and events coordination. ?Coordinates departmental electronic records management project for assigned team ?Assists with assigned projects and initiatives?Knowledge of functional area and understanding of how work may impact other areas. ?Working skills to analyze information and synthesize large amounts of data with strong attention to detail. ?Ability to coordinate projects involving content and production elements, organizes systems, and prioritizes workload. ?Proven advanced level editing for technical and non-technical materials, proofreading, and English language skills. ?Proven advanced level written and oral communications skills to effectively convey relevant information to diverse audience. ?Prior experience working with technical content and ability to acquire and apply specific content knowledge to perform support activities ?Proven communication and interpersonal skills and ability to work successfully in a team environment using active listening and political acumen skills. ?Ability to work independently with limited supervision, multi-task, and remain focused while facing changing priorities, conflicting deadlines, and frequent interruptions. ?Ability to interpret guidelines and make suggestions for process improvement. ?Ability to use discretion, sound judgment, and maintain all confidentiality. ?Professional experience with meeting coordination and support including scheduling, logistics, preparation of agenda and meeting materials, and minutes. ?Working knowledge or ability to quickly learn and apply common campus-specific and other computer application programs including but not limited to: Adobe Acrobat, Visio, PowerPoint, Adobe Creative Suite (PDF documents), Excel, MS Suite. ?Prior experience in the creation of Microsoft Word templates, Adobe Acrobat templates, forms, and other desktop publication software. ?Prior and proven experience with Google Apps for Work (Sheets, Google Drive, Documents, Calendar, and Mail) and database programs (FileMaker, Access): accessing information and entering data. This position is governed by the terms and conditions in the agreement for the Clerical & Allied Services Unit (CX) between the University of California and Teamsters Local 2010.
